Customer challenges
Onside had outgrown their Access database, which could no longer meet the needs of the expanding organisation. Staff were struggling to record and maintain accurate data and generating reports was difficult and time consuming.
This was particularly frustrating as they needed to share updates and progress with key stakeholders to secure funding and for future planning.
The brief
With a growing team of staff, a range of benefactors to consider, and the individuals they support, Onside wanted to make their internal systems more efficient. They needed a reliable software system that could meet their current requirements, but also grow with them. It had to be simple to use, with quick and easy reporting using data they could trust.
The solution
Easy access
Our Oxford-based development team created a database that can be accessed via a user-friendly web interface which allows users to log into the system from anywhere as long as they have internet access. It is compatible with any device, so using a mobile on-the-go is possible. The easy to use interface allows users to access data quickly and efficiently.
Reporting
Onside now has a raft of reliable, quality data available to them. They can search and assign support to individuals based on a host of criteria, including location or area of expertise. And the progress of each individual they help can be tracked, recorded and reported on. This information can be shared with internal staff and benefactors to demonstrate results.
Security
Different levels of user permissions have been set up making the system more secure. For example, users can only view or edit certain areas and only the administrator can delete records, minimising errors and allowing employees to focus on their specific tasks.
The benefits
The fully bespoke system provides Onside with improved accessibility and enhanced reporting capabilities. The charity can now capture and maintain client details, whilst comprehensive reporting capabilities enable them to share these findings with their benefactors to help secure on-going support.
The interface makes the system simple to use, and with improved accessibility, more people are using it. This helps keep data up-to-date and consistent.
The database has eliminated the need for using multiple spreadsheets alongside the Access Database, previously required to track activity. It has saved a considerable amount of time and has led to more trust in the figures.
